Move many users into a single organisation unit in one action, either by selecting them from a list or uploading a CSV file of email addresses.
✅ Before you start: You need the Site Admin or Admin role. You choose one target organisation unit, and everyone in the run moves into it.
ℹ️ Note: Each user belongs to one organisation unit, so moving a user replaces their current unit. Only active users can be moved. Invited and archived users are skipped.
Choose your method:
- Move users from a list - select individual users or use filters
- Move users using a CSV file - bulk upload by email address
Move users from a list
- Go to People → Users.
- Click the Bulk actions dropdown at the top right and select Move to organisation unit.
- On the Users step, keep Select from list selected. Tick the checkbox next to each user you want to move. Use the search and filters to narrow the list by role, organisation unit, group, or status. Then click Next.
💡 Tip: To select everyone that matches your filters across all pages, tick the Select all checkbox at the top of the list, then choose Select all [number] users.
- On the Org unit step, type to search for the unit, then select it from the tree. The unit applies to everyone in the run. Click Next.
- Form LMS checks each user on the Validation step. Review who will move and who is skipped, then click Start move.
ℹ️ Note: Moving users does not enrol them on any courses. Auto-enrolment rules on the target unit are not applied by bulk actions. To enrol the moved users, use Bulk enrol.
- Check the details in the Confirm move popup and click Start move.
The move is queued and processed. You'll see the Summary step when it finishes, showing how many users moved and how many were skipped.
💡 Tip: Click View summary to see a per-user breakdown, or download the list of moved users. You can reopen any run from Bulk actions → Bulk actions log.
Move users using a CSV file
- Follow steps 1 to 2 above, then select Upload CSV. Switching tabs clears any users you picked from the list.
- Click Download template to get the CSV file.
- Add one email address per row and save the file. The template has a single email column. You pick the organisation unit on the next step, so there is no unit column.
- Click Click to upload, select your completed file, then click Next.
- Choose the organisation unit, review the Validation step, then click Start move.
The move runs the same way as the list method. You'll see the Summary step when it finishes.
Something not working?
A user was skipped? Only active users can be moved. Invited and archived users are skipped, with the reason shown in the Notes column on the Validation and Summary steps.
Users weren't enrolled after the move? Moving users to a unit does not apply that unit's auto-enrolment rules. To enrol them, use Bulk enrol. See Enrol learners onto a course.
Can't find a user in the list? Check your filters aren't too narrow, and try searching by email address. Only active users appear as eligible to move.
