Answers to common questions about managing courses in Form LMS.
How do I create a new course?
To create a course:
- Go to Catalogue → Courses.
- Click Create course.
- Give your course a name.
- Go to Content and add either:
- SCORM modules (must be uploaded first via Catalogue → Modules)
- Events (face-to-face or virtual sessions)
The course publishes when you add the first SCORM module or event.
Once published, you can edit:
- Certificates
- Feedback forms
- Reminder notifications
- Enrolment settings (open or conditional)
- Visibility (hidden, all learners, or specific organisation units)

What is the difference between open and conditional enrolment?
Open enrolment: Learners can enrol themselves. When they click "Enrol", they gain access immediately.
Conditional enrolment: Learners request access. An admin or manager must approve the request before the learner can access the course.
To set the enrolment type:
- Go to the course in Catalogue → Courses.
- Edit the course.
- Select Catalogue settings.
- Choose Open or Conditional under Enrolment.
- Click Save changes.
Can learners access courses on mobile devices?
Yes. Form LMS works on mobile devices. Learners need:
- Latest versions of Chrome, Firefox, or Edge
- JavaScript enabled in their browser
- Stable internet connection
- Minimum screen resolution of 1024 x 768
Supported operating systems:
- Windows 10 or 11
- Mac OS X
- iOS (iPhone/iPad)
- Android
💡 Speakers or headphones are recommended for courses with audio content.
How do I set up certificates for a course?
Certificates are awarded to learners when they complete a course.
To configure certificates:
- Go to Catalogue → Courses.
- Edit the course.
- Go to Catalogue settings.
- Under Certificates, choose:
- Default - uses your workspace's default certificate
- Custom - select a specific certificate template
- None - no certificate awarded
- Click Save changes.
To create certificate templates:
- Go to Setup → Site settings → Certificates.
- Click Create new template.
- Design your certificate using the editor.
- Save the template.
Learners can download their certificates from My Completions by clicking the badge symbol.
Why can learners not see courses I have enrolled them in?
To hide a course:
- Go to Catalogue → Courses.
- Edit the course.
- Go to Catalogue settings.
- Under Visibility, select Hidden.
- Click Save changes.
Hidden courses are not visible to learners but remain in Form. Existing enrolments stay active.
To delete a course:
Courses cannot be permanently deleted from Form LMS. If you need to remove a course completely, contact Me Learning support.
💡 Hide courses rather than deleting them to preserve historical training records and completion data.
How do I give someone access to manage courses?
To give someone course management permissions:
- Go to People → Users.
- Search for the user (or invite them if they are not in Form).
- Click the three-dot menu next to their name.
- Select Edit user.
- Change their Role to:
- Admin - full access to courses, users, and settings
- Manager - can manage users and courses within assigned organisation units
- Trainer - can manage events and register attendance
- If setting them as a Manager, assign which organisation units they can manage.
- Click Save.
Role summary:
- Site Admin - full access across all workspaces
- Admin - full access within their workspace
- Manager - limited to assigned organisation units
- Trainer - event management only
- Learner - course access only
How do I add useful links or attachments to a course?
To add useful links:
- Go to Catalogue → Courses.
- Edit the course.
- Go to the General tab.
- Under Useful links, click Add link.
- Enter the URL and display text.
- Choose visibility settings:
- All learners - everyone can see the link
- Enrolled learners only - only enrolled learners can see it
- Click Add link.
- Click Save changes.
Useful links can point to:
- Your organisation's website
- Internal documents on SharePoint
- Public articles related to the course
- Supporting resources
To remove a link, click the bin icon next to it.
