Learn how to create and manage certificate templates in Form LMS.

Certificates are awarded upon completion of a course. They are stored at workspace level, and each workspace includes a default certificate. You can create additional certificate templates.
A new certificate editor was released in July 2025. This version allows more customisation and a richer editing experience.
Manage certificate templates
To update or add a new certificate template, go to Setup → Site settings → Certificates.
Each workspace has its own set of certificates, including the default template called Me Learning Certificate of Completion. The original cannot be changed, but you can create your own certificates and set one as the default.
- Create a new certificate: Click Create new template.
- Edit an existing certificate: Click Edit.
- The three-dot menu for each certificate has the following options:
- Preview as PDF: Downloads a preview copy to your downloads location.
- Preview in browser: Opens a new browser window with a mock-up of the certificate.
- Duplicate certificate: Duplicates the current certificate.
- Set default certificate: Sets the selected certificate as the new default for the current workspace.
- The three-dot menu for each certificate has the following options:
Certificate editor
When you click Create new template or Edit, the certificate editor opens. You can amend the certificate details and then save the template.
- Template name: Enter a name for the template.
- Set as Workspace default: Sets this certificate as the default for the current workspace. Any courses transferred to the workspace use this template by default. Only one default template can be selected.
- Certificate orientation: Set the orientation to either Portrait or Landscape.
- Background image
- Recommended size and format:
- Portrait: 2480 x 3508 pixels
- Landscape: 3508 x 2480 pixels
- Resolution: 300 DPI (A4 size)
- Format: PNG or JPG
- Use cases: The background image can be used for custom borders, watermarks, paper textures, logos, and signatures.
- Background image rotate: Click the rotate icon below to rotate the background 90 degrees per click.
- Content padding does not affect the background image.
- Recommended size and format:
- Content padding: Controls the padding around the outside of the certificate.
Toolbar options
- Font-family: Choose a custom font if you do not want to use the standard styles.
- Font size: Specify the font size if needed.
- Undo / Redo: Undo recent changes or redo changes that have been undone.
- Bold, Italic, Underline, Font colour: Adjust as required.
- Adding inline images:
- Add your own image to the certificate. By default, it appears in line with the text.
Once added, you can edit the image properties by clicking the image for the toolbar or using the gear icon, depending on whether the image is inline or behind the text.

- Bullet / numbered lists: Create bulleted or numbered lists.
- Align text: Align the selected text left, centre, or right.
- Dynamic tags:
- Dynamic tags are variable fields that pull specific information from the database, depending on who receives the certificate.
- For example, {{learner/firstname}} pulls the learner's first name.
- To add a dynamic tag, use the drop-down box to the right of the editor. Clicking an option inserts it into the body text.
- Only use dynamic tags selected from the drop-down. Other tags do not function.
- Inline images
- Resize inline images:
- To resize an image, drag one of the four corner control handles.

- Align: Align the image to Left, Centre, or Right.
- Full width: Makes the image span the entire width of the certificate. Make sure your image has sufficient size and resolution to prevent pixelation.
- Image margins: the amount of space around an image.
- Inline with text vs behind text:
- Inline: the image flows with text and is influenced by text placement.
- Behind text: the image stays in a fixed position and is not influenced by other elements. Use this for footer images where long dynamic copy (such as a course name) could push lower images off the page.
- Resize inline images:
- Save: Click Save to save your certificate template.
