External records let you track training that learners complete outside of Form LMS, keeping all learning history in one place.
✅ Before you start: You need the Admin or Manager role.
Add an external record
- Go to People → Users.
- Select the user → click History.
- Click External records → Add external training.
- Fill in the following fields:
- Course name
- Completion date
- Time
- Certificate
- Provider
- Accreditation
- Equals to: link the external record to an equivalent course in your catalogue. This lets the record trigger Workflows as if the completion happened in Form. The workflow triggers based on the timeframe set, for example an external record from a year ago triggers for a course scheduled annually.
- Click Save.
The record now appears in the learner's history, allowing you to monitor their progress.
