Admins and managers can book learners onto event sessions. Learners receive a confirmation notification with a calendar attachment.
✅ Before you start: You need the Admin or Manager role.
Book learners from the Events list
- Go to Catalogue → Events.
- Click the menu icon next to the relevant event, then select View Event.
- Find the session date you need. Click the menu icon, then select Book learners.
- Select learners:
- Tick the checkbox next to a learner's name to select them individually. Tick the checkbox next to Name to select all learners.
- You can also filter by groups or organisation units to refine the list.
- Click Book People at the bottom right of the table.
The selected learners are now booked onto the session. Each learner receives an email confirming the booking and session details. The email includes an ICS file attachment for adding to their calendar.
Learners can view the session in their My Bookings dashboard.
⚠️ Overbooking rules:
- Admins can overbook but must confirm through a modal window.
- Managers cannot overbook. A warning will appear in a modal window with details of the overbooking.
Book learners from the Courses list
- Go to Catalogue → Courses.
- View the relevant course.
- Click Details next to the session you want, then click Book people.
- Select learners:
- Tick the checkbox next to a learner's name to select them individually. Tick the checkbox next to Name to select all learners.
- You can also filter by groups or organisation units to refine the list.
- Click Book People at the bottom right of the table.
