Form LMS lets you schedule reports to run automatically at daily, weekly, or monthly intervals. Each run can email the report to your mailing list as a CSV attachment.
✅ Before you start: You need the Site Admin or Admin role.
Schedule a report
- Go to Reports → Reports.
- Click the three-dot menu next to the report and select Edit schedule.
- Choose how often the report runs:
- Daily: Select Daily interval and enter the number of days between each run.
- Weekly: Select Weekly on and pick the day of the week.
- Monthly: Select Monthly on, then either On selected day of the month and enter the day, or The last day of a month.
- Generate reports starting from: Set a start date, or leave it blank to start today.
- Generate reports until: Set an end date, or leave it blank to run until you cancel the schedule.
- Mailing list: Under Delivery, enter an email address and click Add recipient. Repeat for each recipient.
- Include CSV attachment: Leave this ticked to attach a copy of the report to the email. Untick it to send a link only.
- Check the Schedule preview on the right. It updates as you work, showing the next runs, the number of recipients, and whether the CSV is attached.
- Click Save schedule.
Scheduled reports run overnight on each date shown in the preview.
The Notification when box shows which email recipients get. Click the eye icon to preview it. To stop a report running automatically, select Never and save.
⚠ Warning: Recipients get the report data in their inbox. They do not need a Form account, and anyone who receives or forwards the email can open it. Send only to people who should see this data.
ℹ️ Note: Schedules saved before CSV attachments were available start unticked. Tick Include CSV attachment and save the schedule to start attaching the report.
Send a test email
Check what recipients will get before the first scheduled run.
- Save the schedule first. Test emails use the saved schedule.
- In the Delivery section, check the address in Send test email to. It defaults to your own address.
- Click Send test email. If you have not saved the schedule yet, the button reads Save schedule and send test email and saves it first.
You'll see a confirmation message telling you where the test was sent.
ℹ️ Note: A test email holds up to 100 rows, so it shows you the format rather than the full data. You can send one test every 30 seconds.
Check what was sent
- A paperclip on a report row means its scheduled emails include the CSV attachment.
- Click a report row to expand its run history. Each run shows the date, status and file size.
- Use View to open a completed run in Form, or Download CSV to save it.
The size column shows a dash where there is no file, such as a run that is still planned or that failed.
ℹ️ Note: Attachments are capped at 15MB. If the CSV is larger, recipients get the standard notification with a download link instead.
