Overview
Event settings can be modified further than the default. This article takes you through the various different settings that can be changed.
To edit an event's settings
- Click the event you wish to edit.
- Click the Edit event button.
Sections
The settings for an event are broken down into different sections each allowing you to change something different in the event.
Details
Details holds the name, description, and event image.
This event is being used on these courses shows what course the event is associated with on Blue LMS. This is where the score will be held for learners after the event.
Event coordinator shows the person who created the event.
Status allows you to change the course from a draft to active. Active events are visible to learners and if sessions are available, allow them to book onto the course.
Sessions
Default location allows you to set the location that will be used for every new session you create under the event.
Default trainer(s) allows you to set the trainers that will be automatically assigned to any new session you create for the event.
Bookings
Here you can specify the Minimum booking limit and select whether to set the booking limit to either the room capacity which only allows the maximum the room can hold based on the venue settings, or based on a specific value which you can then set below in the maximum booking limit box below.
You can set notifications when the booking capacity is reached.
Accept bookings up to allows you to set how far before the session start date learners can book till. Example: You can set the session to allow learners to book onto it up to an hour before it starts.
Notifications can be set to let the event coordinator know that the session is no longer accepting bookings.
Booking form allows you to specify whether a booking form needs to be completed to book onto a session. You can also configure the booking form.
Cancellations
You can set if learners can cancel their bookings using the tick box and set how long they have before the session starts to cancel.
You can also set if they need to give a reason to cancel and setup a drop-down menu with different reasons, also allowing them to select Other if none of the specified meet their reasoning.
Automatic cancellations can also be set by selecting the tick box. This cancels the session if the minimum bookings aren't reached for the session by a certain time.
Completions and feedback
You can calculate the event completion for learners based on two things; Attendance and Assessment.
Selecting attendance sets the completion of the event based on whether or not the learner attended.
Selecting assessment sets the completion of the event based on the trainer setting the learner as passed or not passed on the summary report.
Feedback asks if you want to ask the trainers for feedback after a session ends along with a trainer feedback form that you can configure.
Costs
You can tick the box to say if the event has a cost and below that you can set the default cost for the event.
You also have the option to override the cost on a sector / service basis.
Example: East Sussex is a sector, inside East Sussex is Brighton, Hove, and Portslade. The default cost of the event is £20, however, using the override the charge if you are based in Portslade is £18.
